AUGUSTINIAN GENERAL ARCHIVE (AGA)

Regulations

  1. The documentary collections of this Archive are an integral part of the historical-documentary patrimony of the Order of Saint Augustine.
  1. The General Augustinian Archives (AGA) is the archive of the General Curia of the Order of Saint Augustine.
  1. It is a private ecclesiastical archive.

 

Access

  1. Access to the Archive is by appointment only. All users must prove their identity, state the reason for their research and fill out an entry form.
  1. Users will work in the Reference Room. Access to the Repository or adjoining rooms is reserved for Archive staff.
  1. No bags or purses shall be brought into the Consultation Room, but must be deposited in the place provided for this purpose. Food and beverages will not be allowed in the Consultation Room.
  1. Access to the Archive is free of charge.

 

Consultation of documents and books

  1. The request for documents will be made through the respective format.
  1. The archival document is unique and unrepeatable in its originality, transcends its legal value and has a historical dimension.
  1. Documents require special attention, taking into account, on the one hand, the vulnerability of the materials, the passage of time, the state of the support, the specific conditions of the ink, the binding or the covers, and, on the other hand, the handling of the documents.
    For this reason:
    • the paper on which it is written will not be placed on the document;
    • no books or objects shall be placed on it;
    • no arms or hands shall rest on it;
    • when turning the sheets or using the document, due care should be taken;
    • the document should be handled by the edges;
    • cotton or disposable gloves should be used.
  1. Failure to comply with these rules will be grounds for expulsion from the Archive.
  1. This Archive reserves the right not to provide documentation that, due to its state of preservation, so warrants.
  1. The only instrument authorized for taking notes shall be the graphite pencil. The use of a ballpoint pen, fountain pen or felt-tip pen while working or researching in the Room is therefore prohibited.
  1. As many reference books available in the Auxiliary Library as desired may be consulted without having to request them. Once they have been used, they should be left on one of the tables in the Reference Room to be put back in their place by the Archive staff.
  1. The documents deposited in the Archive, as well as the reference books, will not be transferred or taken out of the Reference Room.
  1. Smoking is prohibited inside the Archive's premises.
  1. Out of respect for other users, an atmosphere of silence must be maintained.
  1. The use of computers is authorized.
  1. The user must mention in his publications the origin of the documents from this Archive used partially or totally for his work.

 

Reprographic regulations

  1. Taking into account the urgent need to preserve our documentary heritage, the Augustinian General Archive does not make photocopies of any of its documents.
  1. The reproduction of documents, which will be made by digital means and by qualified personnel, must be requested by filling out the corresponding form and with the due authorization of the Archivist General.
  1. In keeping with the same basic principle of conservation mentioned above, documents that could be damaged by reproduction are excluded from reproduction.
  1. The use of photographic machines and cellular telephones to personally take photographs or make reproductions of documents is prohibited.
  1. The reproduction of works and documents is subject to Intellectual Property regulations, regulated by law.
  1. It is forbidden to reproduce, without due authorization, copies of any kind supplied by the Archive or obtained from it. Such authorization is also required to cite the source of the documents reproduced.
  1. In order to publish any reproduction made by the Archive, the respective Document Publication module must be filled out.
  1. The management of the Archive may request additional information or other clarifications from the user requesting the photo reproduction service, or even, after an appropriate evaluation, reject the request.
  1. Reproductions will be paid according to the prices that have been established for this purpose and that can be found in the respective module.
  1. The Augustinian General Curia reserves the right of ownership of the images.
